Etsy sales reports, explained: where each number lives and why they don't match

Part 1

Etsy keeps your sales in 3 places, each for a different question

Do this first

  1. Open Stats in Shop Manager and pick last month in the date dropdown.
  2. Download last month's orders CSV from Settings, Options, Download Data.
  3. Generate last month's statement under Finances, Monthly statements.

  • Stats goes back to November 2017 and compares any range with the year before once a shop is a year old.2
  • The orders CSV covers a whole year if you leave Month blank. Pick CSV Type, Month and Year, then Download CSV.3
  • The monthly statement arrives by email. Select Generate CSV, then Take me to download in the email Etsy sends.4

Part 2

Stats revenue, your orders and your deposit each count something different

Do this first

  1. Take your monthly trend from Stats revenue, and leave the deposit for cash.
  2. Count orders as purchases, since one order can hold several items.
  3. Check the statement's fee and refund lines before you call a lower deposit a sales drop.
NumberEtsy's definition, quoted
Revenue (Stats)"The total sales of all your orders, minus your shipping and tax costs."1
Orders (Stats)"The total number of completed purchases placed by customers (not the number of individual items sold)."1
DepositBased on the amount "Available for deposit," which "includes your available funds, minus fees, refunds, taxes, and other activity. It doesn't include funds from sales not yet available for deposit."4
Net profit (Payment account)"The sum of your total sales, fees, marketing, and shipping costs for the selected time period." It "can only be calculated at a minimum of a monthly basis."4
One example month in Etsy's 3 numbers An example month. Orders total $5,000: $4,200 of items, $500 of shipping and $300 of tax. Stats revenue takes out shipping and tax, leaving $4,200. The deposit starts from sales available for deposit, here $4,000 once $700 not yet available is held back, and takes out $550 of fees and taxes, leaving $3,450. Each number is lower than the one before it, and none of the shop's sales went missing. Orders total Items $4,200 $5,000 Stats revenue Items only $4,200 Deposit Deposited $3,450 Sales countedShippingTax, feesNot yet available
Example numbers for an imaginary shop. The arithmetic follows Etsy's definitions of revenue and the deposit.1, 4
  • A sale can count in Stats this month and reach your bank next month. Sales not yet available for deposit stay out of the deposit, and your deposit schedule sets the day it's sent.4
  • Stats reads in UTC past the last 2 days. Hourly stats for today and the 2 days before use your own time zone, and every other range uses Coordinated Universal Time.2 For a Pacific shop, a month in Stats ends 7 or 8 hours before midnight.
  • Visits can drop by the end of the day. Etsy filters bot traffic again at day's end, so a morning count can run high.2
  • Etsy's glossary doesn't say whether refunds come out of Stats revenue. The deposit takes them out by definition,4 so match a refund-heavy month in the statement.

Part 3

Read a month from Stats first, then the other 2

Do this first

  1. Set Stats to last month and turn on Compare to previous period.
  2. Note whether visits or conversion rate moved more than revenue.
  3. Find the row below that matches, and open the report it names.

  • Revenue is visits times conversion rate times order value, and Stats charts the first 2 for the whole shop.2 If revenue fell, the Etsy sales-down guide splits it into visits and conversion and names Etsy's own checks.
  • Etsy calls conversion rate "one of the most important metrics" and names photo quality, price, reviews, listing titles and descriptions, and shipping and return policies as what moves it.1
  • Etsy is one channel. If you also sell on Amazon or Shopify, the omnichannel dashboard template adds every channel up by month.

Read Etsy beside everything else

Sentopi's monthly report reads every channel you sell through, Etsy included, beside Amazon, Shopify, wholesale and retail: what moved across the whole business, why, and what to do first. The first month is free, and you never log in to anything.
